Introduction: Archiving isn’t enough in the AI era

Microsoft 365 Archive provides a native capability to move inactive SharePoint sites to low-cost, secure storage while preserving site structure and enabling full restoration when needed. Preservica’s embedded integration extends this by adding active preservation features designed for multi-decade retention.

Key capabilities called out in the announcement include:

• Integrated archiving and preservation workflow: Initiate archiving and preservation from an integrated SharePoint user experience (via Preserve365).
• Automatic format conversion for long-term readability: Convert files into trusted, readable formats—supporting 1,000+ non-Microsoft file types, including complex assets such as AV, CAD, GIS, and website content.
• Authenticity and integrity controls: Tamper-evident preservation mechanisms and full audit trails to support governance and evidentiary requirements.
• Instant access without restore/download: Business users can discover and view preserved content via SharePoint search—without needing admins to restore an archived site or manually retrieve files.
• Central tracking and restoration: Continue managing archived sites through the Microsoft 365 Archive admin experience, including full restoration options.

Why IT admins should care

For Microsoft 365 and SharePoint administrators, the biggest shift is the focus on long-term accessibility, not just retention. Many organizations hold content in formats already considered obsolete (e.g., legacy media formats or specialized project files).
